AI Coaching Copilot

Preparing for coaching calls is repetitive. Maintaining consistently high-quality preparation is harder. This project began as an effort to speed up agenda preparation evolved into an AI-assisted coaching workflow that helps coaches think more intentionally, ask better questions, and maintain coaching quality across sessions.

Overview

An energy coach approached me looking for a way to use AI to speed up preparation for recurring coaching calls.

What began as an efficiency experiment evolved into something more interesting: using AI not just to save time, but to improve the quality and consistency of coaching preparation.

Working with the coach, I analyzed the existing workflow, identified key judgment points, and designed a custom GPT that reviews previous coaching notes, participant goals, and coaching context to help prepare agendas for upcoming coaching sessions.

The Challenge

Preparing coaching agendas required coaches to:

  • Review previous coaching notes

  • Track participant goals and commitments

  • Maintain continuity across sessions

  • Identify opportunities for participant growth

  • Align with coaching standards and best practices

 

While experienced coaches could do this manually, preparation quality could vary and important coaching opportunities could be overlooked.

My Approach

Rather than focusing on automation alone, I designed a human-in-the-loop workflow that:

  • Preserves coach judgment

  • Surfaces blind spots and missed opportunities

  • Reinforces coaching standards

  • Improves consistency across coaching sessions

  • Supports transformational coaching conversations

 

The custom GPT was trained to act as a coaching preparation assistant, not a replacement for the coach.

Outcome

The coach reported that the biggest value was not speed.

The GPT generated thoughtful coaching questions, surfaced ideas that may have been overlooked, and helped maintain focus on both participant goals and long-term development.

One AI-generated question helped shift a conversation from technical project discussions toward leadership development, creating a more impactful coaching interaction.

The coach also identified broader potential benefits, including:

  • Higher-quality coaching preparation

  • Consistency across coaches

  • Reinforcement of coaching standards

  • Faster onboarding of new coaches

  • Better integration of coaching best practices
